Ordering

How can I pay?

You can pay afterwards via an invoice*. Would you prefer to pay immediately when placing your order? With us, you can easily and securely pay online with iDeal, MasterCard, Visa, Paypal, or Bancontact. Choose your preferred payment method at checkout. *FDS Promotions may ask you to pay in advance if fraud is suspected or if your credit limit is too low. This normally only applies to a first order.
When will I receive my quote?

We aim to get your quote to you within 24 hours (excluding weekends) so you can quickly decide on the next steps for your project. Once the quote request is sent, our experts eagerly search for the best prices for your chosen product(s). You will also receive all information regarding delivery times, etc. However, if you have any questions about your quote or its status, don't hesitate to contact us. We are ready to help you further and answer your questions. That's a load off your heart, isn't it?

Can I receive a sample?

That's perfectly possible, as a product sometimes looks much better in real life than in pictures. That's why we understand that you might want to hold it or compare the color. Please note that samples are always unprinted. For samples, we charge the unit price of the product together with shipping costs. These costs will be credited if you decide to place an order for this item.

I want to cancel my order, is that possible?

You can cancel your order at any time free of charge as long as production has not yet started. Production starts after you have approved the digital proof. Once production has started, you can no longer cancel the order and it is final.

I want to modify my order, is that possible?

If you want to order a different quantity or color of the product, this can still be changed as long as production has not yet started and there is sufficient stock of the other color. Production starts after you have approved the digital proof. If you want to order more or less than originally indicated, a new price will be discussed with you based on the quantity you have chosen. This is also subject to whether the order is already in production and if there is enough stock.

When is my order final?

Your order is final once you have approved the digital proof. After this, your order goes into production and you can no longer cancel the order. If you have changed your mind, you can cancel free of charge at any time before approval.

What is the status of my order?

Another advantage of your customer account. In your quote and order overview, you can see the status of your quotes and orders at a glance. For example, you can see if you still need to approve proofs or which orders have already been delivered.

How do I know if my order is properly placed?

When your order is placed, you will arrive at the confirmation page and will also receive a confirmation email at the email address you provided. Always check your spam folder. If this is not the case, please contact us at +32 11 66 84 40.

How is my price structured?

The structure of your price (usually) consists of 4 parts. You have the unit price of the chosen product, which depends on the quantity you buy. If desired, you can have the product printed. This will add printing costs, you then pay for the materials used. Printing requires machines, these machines need to be set up per print color and per position. That's why you pay a setup cost per color or per position. Finally, you pay a fixed shipping cost on orders less than €500. All our prices are excluding VAT.

Can I order as an individual or association?

We don't discriminate, everyone is welcome to place an order with FDS Promotions. Please note that all prices shown on the website are exclusive of 21% VAT. You must always take the minimum quantity of a product.

What is the Auvibel tax?

The Auvibel tax is a fee that is only levied in Belgium on devices and media on which copyrighted works can be copied, such as smartphones, tablets, CDs, DVDs, USB sticks, and external hard drives. This fee is collected by Auvibel, a copyright organization that represents the interests of rights holders.

The Auvibel tax is intended as compensation for making copies of protected works for private use. The idea behind this fee is that authors and other rights holders should receive reasonable compensation for the use of their works, even when these works are copied for personal use. The proceeds from the Auvibel tax are distributed among the rights holders based on their share in the total repertoire.

The amount of the Auvibel tax differs per device or medium. For example, the fee for a smartphone is lower than that for an external hard drive, because the storage capacity of an external hard drive is much larger and can therefore contain more copies of protected works.

Is my quote request without obligation?

Absolutely! At FDS Promotions, quote requests are always free and without obligations. We understand that exploring different options is an important part of the decision-making process. Therefore, we offer our quotes without any obligation to proceed with a purchase. Our goal is to give you a clear picture of our services and prices. If you have questions about the quote or need additional information, we are always ready to help you.


Shipping and Returns

Is delivery to home addresses possible?

Working from home has become the norm over the past year. According to various sources, this also seems to remain largely present in the future. That's why we make it possible to deliver packages and promotional gifts to your staff's home addresses.

How do we work?

  1. You provide an Excel file with all home addresses (we will provide you with the template). 
  2. We pack the boxes, attach the labels, and hand over the boxes to the parcel services. 
  3. The external parcel services deliver your order to the addresses you provided.


A home delivery is therefore a collaboration between three parties: you as the customer, us as the seller, and the delivery services. For the delivery, FDS Promotions is merely an intermediary.

Responsibility

We cannot ignore it, more and more online purchases are taking place. As a result, parcel services are under extra pressure. From experience, we know that during the holidays, parcel services are extremely busy. FDS Promotions offers this service to give you, as a customer, the opportunity to deliver promotional gifts or Christmas packages to your staff and business relations. However, the risks and responsibilities of home delivery lie entirely with you as the client. This includes damage, breakage, late deliveries, etc. FDS Promotions cannot be held liable in any of these cases.

Costs of home delivery

The service we offer relieves you of a lot of worries. Once you have provided the Excel file with the addresses, it's up to us. We prepare the packages/boxes for shipment and arrange transportation with the parcel services. You don't have to do anything else for this. Home delivery is only possible in Belgium and the Netherlands, exceptions can sometimes be made.

Costs of home delivery in Belgium:

Costs of home delivery in the Netherlands:
  • Mailbox model from €8.95 ex VAT per package 
  • Box from €10.95 ex VAT per package

Can I return my order?

Unfortunately, printed and personalized items cannot be returned. If you are not satisfied with the delivered items, it's best to file a complaint, and we will look for an appropriate solution together with you. Unprinted items may be returned within 14 days of receipt, provided they meet the following conditions*:

  • Written agreement with an FDS employee
  •  The products are in their original packaging
  •  The products are in their original condition

 *The return costs must be borne by you as the customer.

I have a deadline, what now?

It's always a good idea to provide your deadline with your order and quote. We always look for a suitable solution and, if necessary, we even offer an appropriate alternative. We can also offer express delivery for an additional fee, which often speeds up delivery by at least 1 working day.

What is the delivery time of my order?

What works best for us is to choose a fixed delivery time, so you are never surprised. This is standard set at 2 weeks after approval of the proof for printed items. However, it also happens that items can be delivered within, for example, 5 working days after approval. We always communicate the expected delivery time in quotes and order confirmations. If you have a deadline or specific delivery date in mind, don't hesitate to contact us. We always check what's possible.

For Christmas and other packages, it's best to maintain a delivery time of 2-3 weeks. Because we are dependent on the delivery of the goods, we can only pack your package once everything is present. Is delivery to multiple addresses possible?

Yes, for an additional fee, you can have your order delivered to different addresses. If you wish to do so, it's best to contact an employee before placing your order.

How can I track the status of my order?

You can always follow this in your customer account under 'Orders'. The order always gets a label with a status attached. When your order is shipped, you will also receive a track & trace number via email with which you can follow the order closely.

At what times does FDS Promotions deliver?

We always only deliver on working days during office hours. Our carriers only come by between 9 am - 6 pm. If you have specific delivery wishes, always share them when placing your order.

I have a complaint about a product or service, what now?

It's unfortunate that you're dissatisfied with a product or our service. Of course, things don't always go as desired, but that doesn't mean we can't help you further.

If you have a complaint about our products or services, you can contact us through the contact form. You will receive a substantive response from us within 14 days of receiving the complaint. If you as a business customer are not satisfied with the handling of your complaint, you can submit it for mediation to Thuiswinkel (via www.thuiswinkel.org).


Printing of items

How should I submit my logo file?

To guarantee print quality, your logo should be a vector file. Vector files have an .ai, .eps, or .pdf extension. A vector file is the name for a graphic image that doesn't change into 'pixels' when enlarged. If you upload this with your order or in your customer account, all orders can be processed much faster.

I don't have a vector file of my logo, what now?

You have a logo but no vector of it? We can redraw your logo for a small additional fee. Afterward, you'll also receive the vectorized file so you can use it permanently.

Tip: There's a good chance someone has made your logo at some point, in most cases as a vector. Therefore, ask the graphic designer if he/she has your logo in vector format.

What is a digital proof?

A digital proof is a digital example of what your product will look like. The print will appear exactly like this on the product. If you're not satisfied with it, we'll adjust the design until you are satisfied. A digital proof is also the last moment when you can modify or cancel a printed order. Once you have approved this, the ordered items go into production and the order can no longer be canceled.

What printing options are available?

Embroidery

In embroidery, fabric is decorated with stitched threads in a pattern.

  • Applicable on cotton, polyester, and fleece materials


Digital Print

Digital printing is similar to the inkjet process. The print image is formed by tiny ink droplets that are sprayed onto the product and immediately dry under UV light radiation.

  • Unique effects in matte or glossy finish or in relief 
  • Doesn't discolor, doesn't fade Ideal for small quantities 
  • Suitable for flat, slightly curved surfaces

Doming

Doming is a technique where a 3D version of the print image - a logo, for example - is created by means of a semi-circular shape (a 'dome') under the imprint. A filling of epoxy resin ensures that the dome-shaped elevation with the imprint on it hardens into shape.

  • Suitable for flat surfaces that are made with a lowered portion for the convex sticker.

Laser Engraving

Laser engraving is done with a laser beam that etches the decoration with great precision into a surface.

  • Applicable on metals, glass, ceramics, wood, stone, paper, jeans, acrylic glass, real and synthetic leather, PU materials

Pad Printing

Pad printing is an indirect offset printing process where the print image is formed by ink that is transferred via a silicone pad from an engraved metal plate onto the product.

Screen Printing

Screen printing is a technique where the print image is placed on a fine-mesh gauze where the non-printing parts are covered with an impermeable substance. The ink is pressed through the gauze, resulting in bright, sharp images.

  • Economical choice for large decorations in multiple colors 
  • A good choice for text decoration and a weathered look 
  • Suitable for flat surfaces 
  • Applicable on polyester, nylon, cotton, and non-woven materials 
  • Maximum 4 colors for non-textile material and maximum 5 colors for textiles

Account

Why do I need to create an account?

If you want to place an order or request a quote on our webshop, you need an account. The reason for this is that we then have all your correct contact details. If something is still unclear to us, we can immediately contact you and thus respond faster. It is recommended to fill in your details as completely and correctly as possible. This speeds up some processes, for example, with an order you've just placed.

We will never use your data for a marketing campaign unless you've indicated that you'd like to receive our newsletter. In this newsletter, you'll find the best deals and the latest news.

What are the benefits of an account?

There are many advantages associated with a customer account. For instance, you get an overview of all your open/delivered orders at a glance. Want to reorder something? That can be done with just one click. Moreover, you can view all your requested quotes and convert them into an order.

You can also add different logos and easily add these when placing an order. This way, our team quickly has the right logo file and everything goes just that little bit faster.

Do you have multiple delivery addresses? No problem, you can easily create these in your account. When checking out, you can simply click on the right address and we'll do the rest.
